Privacy Policy

Nuvio is business software. Most of the personal data that passes through it belongs to our customers’ contacts, not to us — so the single most important thing this policy explains is which data we decide things about, and which data we only handle on someone else’s instructions.

What this policy covers

This policy covers the nuviolearning.com website and the Nuvio platform — Nuvio Leads, Learn, Books, HRMS and Chat.

It does not cover our customers’ own websites, products or privacy practices. If you are a parent, employee or customer of a business that uses Nuvio, that business decides what happens to your data, and its own privacy notice governs. We suggest contacting it directly; we will help it respond.

Our two different roles

This distinction determines your rights, so we put it before anything else.

  • We are the controller for data about our own visitors, prospects, customers and their staff — the people who sign up, sign in, pay us and contact support. We decide why and how that data is used.
  • We are a processor for everything a customer puts into their Nuvio account about their own contacts, students, employees or clients. We hold and process that data on the customer’s instructions, for the purpose of providing the service, and we do not use it for our own ends.

We do not sell personal data, and we do not use customer data to train models or to market to our customers’ contacts.

Data we collect as controller

  • Account data — name, work email, phone number, company name, role.
  • Billing data — billing address, tax identifiers, subscription and invoice history. Card details are handled by our payment processor; we do not store them.
  • Usage and technical data — sign-in events, IP address, browser and device information, pages viewed, feature usage, and server and error logs. We use these to keep the service secure and working.
  • Support and sales data — the content of enquiries, trial requests, demo bookings and support conversations.

We ask for what the service needs. Where a field is optional, leaving it blank does not stop you using Nuvio.

Data we hold as processor

Depending on which applications a customer uses, their Nuvio account may contain:

  • contact and enquiry records, including names, phone numbers and email addresses;
  • student, class, attendance, fee and enrolment records;
  • employee records, including payroll and leave data;
  • invoices, payments and accounting records;
  • message content and delivery metadata for WhatsApp, SMS, RCS, email and calls sent or received through the platform, including call recordings where the customer has enabled them.

The customer decides what to collect, on what legal basis, how long to keep it and who may see it. We provide the tools, the access controls and the audit trail.

Children’s data

Nuvio is a business product and is not directed to children. We do not knowingly collect data from children as controller.

However, customers in education use Nuvio to hold records about students, some of whom are minors. Where that happens we process such data strictly as a processor on the customer’s instructions. The customer is responsible for establishing a lawful basis, including verifiable parental consent where the law requires it, and for honouring requests from parents and guardians. We will assist a customer in responding to such requests.

Messaging and calling providers

Nuvio Chat sends and receives messages through accounts that belong to the customer — their own Meta WhatsApp Business account, their own SMS, RCS, voice or email provider. Numbers, sender identities and sender reputation stay with the customer.

That means the provider processes those messages under the customer’s own agreement with that provider, not ours. We pass content and delivery events between the customer’s Nuvio account and the customer’s provider account, and we store the resulting records in the customer’s Nuvio account.

Where a customer instead asks us to arrange a sending route on their behalf, we will identify the provider involved before any messages are sent.

Why we use data we control

  • to provide, maintain and secure the service, and to authenticate users;
  • to bill, to collect payment and to keep the records that tax and company law require;
  • to provide support and to respond to enquiries;
  • to detect, investigate and prevent abuse, fraud and security incidents;
  • to improve the product in aggregate — which features are used, where errors occur;
  • to send service messages such as billing, security and material change notices. These are not marketing and cannot be switched off while an account is active;
  • to send product and marketing email where you have asked for it or where we may lawfully do so. Every such message carries an unsubscribe link that works.

Who we share it with

We do not sell personal data. We share it only in these cases:

  • Service providers who work for us under contract — hosting and infrastructure, transactional email delivery, payment processing and error monitoring. They may use the data only to perform that service for us.
  • Providers the customer has connected, as described above, on the customer’s own instructions.
  • Legal and safety — where we are required by law, court order or a lawfully made request, or to establish or defend legal claims. We will tell the affected customer unless we are prohibited from doing so.
  • Business transfer — if the business or part of it is acquired or reorganised, subject to this policy continuing to apply.

Where data is held

Our servers and primary data storage are located in India. Some service providers we use operate outside India, so limited data may be processed elsewhere. Where that happens we rely on the provider’s contractual protections and transfer only what the service requires.

Where a customer has a data-residency requirement, contact us before onboarding and we will confirm in writing what can be met.

How long we keep it

  • Customer account data — for as long as the account is active.
  • Data held as processor — for as long as the customer keeps it, and deleted or returned on the customer’s instruction. After an account closes we retain it for a limited wind-down period so it can be exported, then delete it.
  • Billing and tax records — for the period Indian tax and company law requires, regardless of account closure.
  • Security and server logs — for a short rolling period.

Backups are deleted on their own cycle, so deleted data may persist briefly in backups before being overwritten.

How we protect it

We use encryption in transit, access controls and role-based permissions, per-tenant separation of customer data, audit logging of administrative actions, and least-privilege access for our own staff. Access to production data is limited to people who need it to operate the service.

No system is perfectly secure. If a breach affects your data we will notify you and the relevant authority as the law requires, and tell you what happened and what we are doing about it.

Your rights

Under India’s Digital Personal Data Protection Act, 2023, and other laws that may apply to you, you may ask us to give you access to your personal data, correct or complete it, erase it, or tell you who we have shared it with. You may withdraw consent where we relied on it, and you may nominate someone to exercise your rights if you cannot.

Write to admin@nuviolearning.com. We will respond within the period the law allows. We may need to verify who you are first.

If your data sits in a customer’s Nuvio account, that customer is the one who decides — please contact them, and we will support them in answering you. If you are not satisfied with how we have handled a grievance, you may complain to the Data Protection Board of India.

Cookies

We use cookies that are necessary to sign you in, keep your session and remember preferences. Where we use anything beyond that, we ask first, and declining does not break the site.

Changes to this policy

We update this policy when the service or the law changes. The date at the top always reflects the current version. If a change materially reduces your rights we will tell active customers by email before it takes effect.
