From first enquiry to paid invoice: the service-business workflow in one system
September 6, 2026 ·
Ask a service business to describe its week and you will hear a journey: an enquiry arrives, someone follows up, the customer signs on, classes or work happen, an invoice goes out, money comes in, and the team gets paid. On paper it is one flow. In most software it is five disconnected tools and a lot of copy-paste at every handoff.
Here is that journey inside one system.
1. The enquiry — Nuvio Chat
A parent messages on WhatsApp at 9pm, another fills in the website form, a third calls. In Chat, all of it lands in one inbox across six channels, an AI helper answers routine questions using your own information, and every enquiry is saved as a lead — tagged with the channel it came from.
2. The conversion — Nuvio Leads
That lead flows straight into a pipeline the whole team can see: first hello, follow-ups, a booked demo, enrolled. No re-typing, a full history of who said what, and one-click WhatsApp and email follow-ups. Nothing falls through the cracks because nothing has to be re-entered.
3. The delivery — Nuvio Learn
When they enrol, the same record becomes a student in Learn: timetable, attendance, courses and teachers. Mark attendance once and the fees due and the teacher’s earnings work themselves out — no copying rows between spreadsheets, and parents, students and teachers each get their own login.
4. The money — Nuvio Books
Fees become GST-compliant invoices in Books, in the currency the family pays in, produced from real class data rather than typed in again. Receipts reconcile against the same record, so “who owes what” is always current.
5. The team — Nuvio HRMS
The classes taught become the teacher’s payout: computed from real data, tax deducted and recorded, exported as a bank-ready file. The people who deliver the service get paid correctly, without a separate payroll project.
Where it usually breaks — and why this does not
In a stack of point tools, every arrow above is a handoff where data is copied and can drift. In Nuvio there are no handoffs, because it is one record moving through one system. The enquiry, the enrolment, the invoice and the payout are the same customer — always.
